Day by day, with several entries per day

Every day can hold several entries, each with a project, a task and a note. Employees without a project assignment still record their time — the note carries the detail. A submitted month is locked and can only be reopened by the managing director, with a documented reason.

Leave and absence

Balances, requests, approvals — on the record

Paid leave, unpaid leave and sick days are counted separately and treated separately. The responsible team lead decides, a rejection requires a reason, and both stay on the record permanently.

Projects and rates

Budget in view, rates with history

Budget, completion and team per project. Purchase and billing rates are never overwritten but carried forward — a submitted month freezes the rate that applied at the time. Reports go out as PDF or Excel, and share links for clients expire and can be revoked.

Security

Salaries, social security numbers, sick days. This application was designed for that from the first line — not secured as an afterthought.

Questions

What prospects ask first

Where is the data held?

Exclusively in a data centre inside the European Union. No transfer to third countries takes place. The specific location is named in the processing agreement.

Do I get a data processing agreement?

Yes. It is concluded with the contract and does not have to be requested separately. It follows the European Commission's official standard contractual clauses and includes the description of technical and organisational measures as an annex.

What happens to our data if we cancel?

After the contract ends, a complete export stays available for 30 days — the database in machine-readable form plus every uploaded file. After that it is deleted for good. Note that payroll records have statutory retention periods of up to ten years, so export them before then. We point this out during cancellation.

Does the works council have to agree to this?

In Germany, if a works council exists, introducing time tracking generally requires its involvement. That is not specific to Timeforce — it applies to any such system. Plan for the step.

Can team leads see salaries?

No. Compensation is visible only to the person concerned and to management. For team leads the area is not visible — not greyed out, simply not there.

How are sick days handled?

Only the fact that an absence is recorded as sick leave — no diagnoses, no certificates as a required field. Sick days never appear in company-wide lists, because that is health data.

Is the application available in English?

Yes, completely. Every employee sets their own language, German or US English. Date and number formats follow along.

How does the trial work?

You pick a subdomain, get your own instance and 14 days to use it. No payment details are needed, and the trial ends automatically — no contract arises if you book nothing.
